This Privacy Policy describes how VisionaryV LLC, a Texas limited liability company ("Dotra," "we," "us," or "our"), collects, uses, discloses, and protects personal information in connection with the website located at dotracompliance.com (the "Site") and the Dotra compliance platform and related services (collectively with the Site, the "Services").

This Privacy Policy applies to personal information we collect from website visitors, prospective customers, and individuals associated with our business customers (collectively, "you"). It does not apply to personal information that our business customers upload to the Dotra platform about their own personnel, contractors, or drivers ("Customer Data"); for that data, our business customers are the controllers and we act as their service provider. The handling of Customer Data is governed by our Master Subscription Agreement and any applicable Data Processing Addendum.

By using the Services, you acknowledge that you have read and understood this Privacy Policy.

Quick Summary

We collect contact information you provide on our Site, information from automated technologies such as cookies and analytics, and information you provide when you become a customer. We use this information to operate the Services, communicate with you, market our products, and improve our offerings. We do not sell personal information for money. We retain information only as long as needed to provide the Services and to comply with legal obligations. Information We Collect

2.1 Information You Provide

We collect contact and lead information including name, business name, business email, business phone number, USDOT or MC number, role and title. We collect account information when you create a Dotra account including names, business email addresses, and login credentials. We collect billing contact information processed through Stripe. We collect information you provide when you communicate with us by email, telephone, or online chat.

2.2 Information Collected Automatically

When you visit the Site or use the Services we automatically collect device and browser information including IP address, browser type, operating system, and device type. We collect usage information including pages visited, time spent on pages, and referring URLs. We collect information from cookies, web beacons, pixels, and similar technologies.

2.3 Information from Third Parties

We may receive information from marketing and lead generation providers, public sources such as the FMCSA public databases, and our business customers.

2.4 Categories of Personal Information

Categories collected include identifiers such as name, email, phone, and IP address; commercial information such as records of products or services purchased; internet or electronic network activity; geolocation data derived from IP address; and professional or employment-related information.

How We Use Information

We use information to provide, operate, maintain, and improve the Services; to respond to inquiries including demo requests and support questions; to process transactions including billing; to communicate with you about the Services; to send marketing communications subject to your preferences; to detect and prevent fraud and security incidents; and to comply with legal obligations.

How We Share Information

4.1 Service Providers

We share information with hosting providers Vercel and Supabase, payment processor Stripe, email and communications providers, analytics providers including Google Analytics, and customer support tools. We require service providers to use information only for the purposes we engage them.

4.2 Advertising Partners

We may use third-party advertising and analytics services that use cookies. Under some state privacy laws sharing information with these partners may qualify as a sale or sharing of personal information. See Section 7 for opt-out information.

4.3 Legal Compliance and Protection

We may disclose information to comply with applicable law, protect rights and safety, detect fraud, or enforce our agreements.

4.4 Business Transfers

If we are involved in a merger, acquisition, or sale of assets your information may be transferred as part of that transaction.

4.5 We Do Not Sell for Money

We do not sell personal information for monetary consideration. We do not knowingly sell or share the personal information of consumers under the age of 16.

Cookies and Tracking Technologies

We use strictly necessary cookies required for the Site to function, analytics cookies to understand how visitors use the Site via Google Analytics, and marketing cookies to support advertising and attribution. Within the authenticated Dotra application we do not use third-party advertising or marketing cookies. You can manage cookie preferences through your browser settings. We honor Global Privacy Control signals as an opt-out request.

Data Retention

We retain marketing and lead inquiry data for up to three years after last interaction. We retain customer account information for the duration of the account relationship and a reasonable period after. Customer Data is removed from production systems upon termination of the customer relationship with backup copies purged within 90 days. Billing records are retained as required by applicable tax and accounting laws.

Your Privacy Rights

7.1 Rights Available to All Users

You may opt out of marketing communications by clicking unsubscribe in any marketing email or by contacting privacy@dotracompliance.com. You may request access to or correction of information we hold about you. You may update your account information through your account settings.

7.2 Rights for U.S. State Residents

If you are a resident of a U.S. state with a comprehensive consumer privacy law you may have the right to know and access information we collect about you, the right to delete personal information, the right to correct inaccurate information, the right to data portability, the right to opt out of sale or sharing, and the right to non-discrimination for exercising these rights.

7.3 How to Exercise Your Rights

To exercise any of these rights email us at privacy@dotracompliance.com. We will respond within the timeframe required by applicable law generally within 45 days.

7.5 California Residents

Under the CCPA and CPRA, California residents have the rights described in Section 7.2. California residents have the right to opt out of sharing via the Do Not Sell or Share My Personal Information link in the Site footer.

7.6 Texas Residents

Under the Texas Data Privacy and Security Act, Texas residents have the rights described in Section 7.2.

Security

We implement commercially reasonable administrative, technical, and physical safeguards including encryption of data in transit and at rest, access controls and authentication requirements, and regular security assessments. No method of transmission or storage is completely secure. You are responsible for keeping your account credentials confidential.

Data Breach Notification

If we become aware of a security incident involving unauthorized access to personal information we will assess whether notification is required under applicable law. We will notify you by email within the timeframe required by applicable law and will notify applicable state regulators as required.

Children's Privacy

The Services are not directed to children under 18 and we do not knowingly collect personal information from children under 13. If you believe we may have collected information from a child under 13 please contact us at privacy@dotracompliance.com.

Sensitive Information

Our business customers may upload sensitive information about drivers including driver's license numbers, DOT identifiers, medical certificates, and in limited cases Social Security Numbers. We process such information solely on behalf of our customers. We do not use Customer Personnel information for our own purposes, do not sell it, and do not share it for advertising.

International Users

The Services are operated from the United States. If you access the Services from outside the United States your information will be transferred to and processed in the United States.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we update the Policy we will revise the Last Updated date. Your continued use of the Services after the effective date constitutes your acceptance of the updated Policy.
